1. Who we are
SmartRealtor is published by Hale Technology , a company registered in England and Wales, based in Liverpool, United Kingdom ("we", "us"). For anything in this policy, contact privacy@SmartRealtor.uk.
2. The app: on-device by design
SmartRealtor performs speech-to-text transcription and AI extraction using models bundled inside the app. Processing happens on your phone. The app has no user accounts, no cloud sync and no analytics attached to your business data.
- Dictation audio is recorded to your device's temporary storage, transcribed on the device, and is not transmitted anywhere.
- Property, room, valuation, comparable, viewing, contact and AML data is stored in a local database on your device only.
- Appraisal PDFs and drafted messages leave the device only when you choose to share or send them using your own apps.
3. Your role as data controller
When you record details about vendors, applicants and other individuals in SmartRealtor, you (or your agency) are the data controller for that information under UK GDPR. SmartRealtor is a tool running on your device; because the data never reaches us, Hale Technology is neither controller nor processor of it. You remain responsible for having a lawful basis for the personal data you record and for responding to data subject requests, which the app supports through its export and delete functions.
4. Permissions the app requests
- Microphone — to record your dictation for on-device transcription. Audio is not uploaded.
- Storage / share — to save and share the PDFs and files you generate.
5. What we do receive
- App store data. If you install via Google Play, Google provides us aggregated install and crash statistics under its own privacy policy. Crash reports do not contain your business data.
- Email. If you email us, we hold that correspondence to reply and for our records.
6. This website
- We do not use analytics, advertising or tracking cookies. The site sets no cookies.
- Our hosting provider keeps standard server logs (IP address, user agent, pages requested) for security and diagnostics, retained for a limited period.
- Fonts are loaded from Google Fonts, which involves your browser requesting files from Google's servers; Google's privacy policy applies to those requests.
7. Data retention and deletion
Because your data lives on your device, retention is in your hands: deleting a record in the app deletes it from the local database, and uninstalling the app removes the database (subject to any device backups you operate). We recommend agents follow their agency's retention policy, particularly for AML records which carry statutory retention periods.
8. Your rights
Under UK GDPR you have rights of access, rectification, erasure, restriction, portability and objection. For data held on your device, the app's export and delete functions let you exercise these directly. For the limited data we hold (such as email correspondence), contact privacy@SmartRealtor.uk. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
9. Children
SmartRealtor is a professional tool intended for adults working in Smart agency and is not directed at children.
10. Changes to this policy
If we change this policy we will update this page and the date above. Material changes to how the app handles data would be described in the app's release notes.
